1. Agreement to Terms

These Terms of Service ("Terms") constitute a legally binding agreement between you (either as an individual or on behalf of an entity) and Global Talent Leaders LTD (trading as "AppointmentHunter", "we", "us", or "our"), a company registered in England and Wales with company number 14557865, having its registered office at Summit House, Horsecroft Road, Harlow, Essex, England, CM19 5BN.

By accessing or using our Service, you agree to be bound by these Terms. If you do not agree with any part of these Terms, you must not use our Service.

2. Service Description

AppointmentHunter is a software-as-a-service (SaaS) platform that provides interview scheduling automation, interviewer coordination, ATS integration, and related features to help companies streamline their recruitment processes.

We reserve the right to modify, suspend, or discontinue any aspect of the Service at any time, with or without notice, though we will make reasonable efforts to notify you of significant changes.

3. Account Registration

To use AppointmentHunter, you must:

  • Provide accurate, current, and complete information during registration
  • Maintain and promptly update your account information
  • Maintain the security of your account credentials
  • Accept responsibility for all activities under your account
  • Notify us immediately of any unauthorized account access

You may not share your account credentials or allow multiple users to access a single user account. Each user must have their own account.

4. Subscription Plans & Billing

4.1 Free Trial

We offer a 30-day free trial period for new customers. During the trial, you have full access to the features of your selected plan. You will not be charged until the trial period ends. You may cancel at any time during the trial without being charged.

4.2 Billing Cycles

Subscriptions are available on a 6-month or 12-month basis. Payment is required in advance for the entire billing period. Annual subscriptions receive a 10% discount compared to 6-month billing.

4.3 Auto-Renewal

Your subscription will automatically renew at the end of each billing period unless you cancel before the renewal date. You will be charged the then-current rate for your plan. We will notify you at least 14 days before your subscription renews.

4.4 Price Changes

We reserve the right to change our prices. Price changes will not affect your current billing period but will apply to renewals. We will notify you at least 30 days before any price change takes effect.

4.5 Payment Methods

We accept payment via credit card, debit card, and other methods available through our payment processor (Stripe). By providing payment information, you authorize us to charge the applicable fees to your payment method.

5. Cancellation & Refunds

5.1 Cancellation

You may cancel your subscription at any time through your account settings or by contacting our support team at support@appointmenthunter.com. Cancellation will take effect at the end of your current billing period. You will retain access to the Service until that date.

5.2 Refund Policy

We offer a 30-day money-back guarantee. If you are not satisfied with AppointmentHunter within the first 30 days of your paid subscription, you may request a full refund by contacting support@appointmenthunter.com.

After the initial 30-day period, subscription fees are non-refundable. If you cancel mid-billing cycle, you will not receive a prorated refund, but will retain access until the end of your billing period.

5.3 Service Issues

If you experience technical issues or service interruptions, please contact our support team. We will investigate and work to resolve the issue promptly. However, service issues do not entitle you to a refund beyond the 30-day money-back guarantee period.

6. Data & Privacy

6.1 Data Protection

We are committed to protecting your data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. Our Privacy Policy, available at appointmenthunter.com/privacy, describes how we collect, use, and protect your information.

6.2 Your Data

You retain all rights to the data you input into the Service. We do not claim ownership of your data. You grant us a limited license to process your data solely to provide the Service to you.

6.3 Data Retention

Upon cancellation, we will retain your data for 30 days to allow for reactivation. After 30 days, your data will be permanently deleted from our production systems, though it may remain in backups for up to 90 days for disaster recovery purposes.

6.4 Data Deletion Requests

You may request immediate deletion of your data at any time by contacting privacy@appointmenthunter.com. We will process deletion requests within 14 business days, subject to any legal obligations to retain certain data.

7. Acceptable Use

You agree not to use the Service to:

  • Violate any applicable laws or regulations
  • Infringe on intellectual property rights of others
  • Transmit harmful code, viruses, or malware
  • Attempt to gain unauthorized access to our systems
  • Interfere with or disrupt the Service
  • Use automated tools to access the Service without permission
  • Resell or redistribute the Service without authorization
  • Use the Service for discriminatory hiring practices
  • Store illegal or inappropriate content

We reserve the right to suspend or terminate accounts that violate these acceptable use provisions.

8. Service Availability

8.1 Best Efforts

We strive to provide reliable, uninterrupted access to the Service. However, we do not guarantee that the Service will be available at all times or that it will be error-free.

8.2 Maintenance

We may perform scheduled maintenance that temporarily interrupts Service availability. We will provide at least 24 hours advance notice of scheduled maintenance via email or in-app notifications. Emergency maintenance may be performed without advance notice.

8.3 Third-Party Services

The Service relies on third-party services including ATS platforms (Greenhouse, Ashby, etc.), calendar providers (Google Calendar, Outlook), and infrastructure providers. We are not responsible for outages or issues caused by third-party service providers.

9. Support

Support is provided via email at support@appointmenthunter.com. Response times vary by plan:

  • Professional Plan: 24-hour response time during business hours (Monday-Friday, 9am-5pm GMT)
  • Enterprise Plan: 4-hour response time during business hours, priority queue

Support does not include custom development, extensive training, or on-site assistance unless separately contracted.

10. Intellectual Property

The Service, including all software, designs, text, graphics, logos, and other content, is owned by Global Talent Leaders LTD and protected by copyright, trademark, and other intellectual property laws.

Your subscription grants you a limited, non-exclusive, non-transferable license to access and use the Service for your internal business purposes only. You may not copy, modify, distribute, sell, or lease any part of the Service.

11. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW:

  • THE SERVICE IS PROVIDED "AS IS" WITHOUT WARRANTIES OF ANY KIND
  • WE DO NOT WARRANT THAT THE SERVICE WILL BE UNINTERRUPTED, ERROR-FREE, OR SECURE
  • WE ARE NOT LIABLE FOR ANY LOSS OF DATA, LOST PROFITS, OR CONSEQUENTIAL DAMAGES
  • OUR TOTAL LIABILITY SHALL NOT EXCEED THE FEES YOU PAID IN THE 12 MONTHS PRECEDING THE CLAIM
  • WE ARE NOT LIABLE FOR ISSUES CAUSED BY THIRD-PARTY SERVICES OR YOUR MISUSE OF THE SERVICE

Nothing in these Terms excludes or limits our liability for death or personal injury caused by negligence, fraud, or any liability that cannot be excluded by law.

12. Indemnification

You agree to indemnify and hold harmless Global Talent Leaders LTD, its officers, directors, employees, and agents from any claims, damages, losses, or expenses (including reasonable legal fees) arising from your use of the Service, violation of these Terms, or infringement of any third-party rights.

13. Force Majeure

We shall not be liable for any failure or delay in performing our obligations under these Terms due to circumstances beyond our reasonable control, including acts of God, war, terrorism, riots, embargoes, acts of civil or military authorities, fire, floods, earthquakes, accidents, strikes, or shortages of transportation, facilities, fuel, energy, labor, or materials.

14. Termination

We may suspend or terminate your access to the Service immediately, without prior notice, if you:

  • Violate these Terms
  • Fail to pay fees when due
  • Engage in fraudulent activity
  • Cause harm to other users or our systems

Upon termination, you must cease all use of the Service, and we will delete your data in accordance with Section 6.3 above.

15. Changes to Terms

We may update these Terms from time to time. We will notify you of material changes by email or through the Service at least 30 days before the changes take effect. Your continued use of the Service after changes take effect constitutes acceptance of the revised Terms.

If you do not agree to the revised Terms, you may cancel your subscription before the changes take effect.

16. Governing Law & Disputes

These Terms are governed by the laws of England and Wales. Any disputes arising from these Terms or the Service shall be subject to the exclusive jurisdiction of the courts of England and Wales.

Before initiating formal legal proceedings, we encourage you to contact us to resolve disputes informally. Many concerns can be resolved quickly through discussion.

17. Entire Agreement

These Terms, together with our Privacy Policy and any other legal notices published on the Service, constitute the entire agreement between you and Global Talent Leaders LTD regarding the Service.
